Check list for ITRW

This is a checklist for workshop organizers. The list is not exhaustive. It includes some of the issues that sometimes are forgotten. See also the guidelines for ISCA workshops.
 

Basics

  1. You are organizing a workshop not a conference.
  2. A target size of  50-100 participants is recommended.
  3. The environment should encourage informal and spontaneous discussions.

Call for participation and web page

  1. Call for participation should be issued about one year prior to the ITRW.
  2. The call should include topic, organizer, location, scientific committee and timetable.
  3. A workshop web page should be set up with appropriate information.
  4. The web address should be given to ISCA for inclusion in the ISCA workshop list.
  5. ISCA logo and a reference to ISCA http://www.isca-speech.org/ should be included
  6. Place the home page for the workshop in the top of the directory structure. This way the web can be easily copied to a CD.
  7. The workshop web page should be kept for at least one year after the workshop.
  8. Use older ITRW web pages for inspiration

Publication

  1. The publication should have an ISSN number (Not yet available).
  2. An ISCA logo should be included on the front cover.
  3. Papers should be made available electronically  (CD or a web) for archiving by ISCA.
  4. Two copies of the proceedings should be mailed to the ISCA secretariat for reference.
  5. A number of proceedings should be mailed to the ISCA secretariat for sale. (contact the secretariat for details)
  6. Two copies of the proceedings should be mailed to the ITRW responsible person for reference.
  7. Copyright rests with ISCA and the author. Permission to use must be obtained from ISCA or from the author

Fees & ISCA memberships

  1. Students (with certificate of their status) should get a reduced fee.
  2. ISCA members should get a reduced fee corresponding to the ISCA membership fees. (Year 2000:  45 ECU full member and 15 ECU student)
  3. Registration for non-ISCA members should include a complimentary membership for one year.
  4. The membership fee for non-ISCA members should be transferred to ISCA together with membership information.
  5. The membership information will be checked by the ISCA secretariat

Grants

  1. The ISCA grant policy is described in more detail on "The ISCA grant fund" web page.

Revenues

  1. The final financial report should be done within two months after the ITRW.

Workshop schedule

  1. ITRW -18 months Conception of workshop idea - discussions with ISCA. Deciding upon dates not interfering with other events.
  2. ITRW -14 months Finishing negotiations with workshop venue. Recruiting scientific committee and inviting (tutorial) speakers. Preparing "Call for participation."
  3. ITRW -12 months Distributing "Call for participation."
  4. ITRW - 8 months Deadline for abstracts
  5. ITRW - 6 months Notification of acceptance, instructions to authors
  6. ITRW - 2  months Deadline for full paper and early (less expensive) registration
  7. ITRW - 1 month Mailing of preliminary program and additional information
  8. ITRW = Workshop
  9. ITRW + 2 months Summing up, closing accounts, (financial) report to ISCA

Workshop

  1. Have a successful workshop
